Depositing your work

There are two ways to deposit your work:

  1. To submit one item, use this quick submission form. Please include as much information as possible to help expedite the submission process.
  2. If you have more than one item to deposit, please email r3@rice.edu. Library staff will work with you to share and describe material.

Preparing your work for submission

We ask authors to carefully prepare their work according to the guidelines described below. This will improve discoverability and accessibility of the work and reduce the likelihood of publication delays.

Submission preparation

  1. Ensure that your document meets digital accessibility requirements.  Submittors are encouraged to contact the library (email us or use this webform) if assistance is needed.

    2. Rice's Digital Accessibility Office maintains a collection of accessibility resources for frequently used applications.
  2. If your work is larger than 75 MB, or if it includes multiple files, make your work available in a cloud service that creates a link to the file or folder (e.g., Rice Box, Google Drive, Dropbox).
  3. Decide if you want a digital object identifier (DOI) assigned to your work. Generally, DOIs are assigned to works that have not previously been assigned a DOI elsewhere.
  4. Decide if you want to assign a Creative Commons license to your work. No transfer of copyright occurs when a work is made available in R-3. But the copyright holder does have the option to assign a Creative Commons license to their work. Review the available licenses in R-3:
    1. No license. When you choose this option, no license will be applied to your work. In most cases, the library will still add information to the record indicating that the content is copyrighted and that reuse requires permission from the copyright holder.
    2. Creative Commons Zero (CC0): Recommended only for datasets. When you choose this license, you are waiving all rights and placing your work in the public domain.
    3. Creative Commons Attribution (CC BY): This license allows others to distribute, remix, tweak, and build upon your work, even commercially, as long as they credit you for the original creation.
    4. Creative Commons Attribution-ShareAlike (CC BY-SA): This license allows for others to remix, tweak, and build upon your work even for commercial purposes, as long as they credit you and license their new creations under identical terms.
    5. Creative Commons Attribution-NoDerivs (CC BY-ND): This license allows for redistribution, commercial and non-commercial, as long as it is passed along unchanged and in whole, with credit to you.
    6. Creative Commons Attribution-NonCommercial (CC BY-NC): This license lets others remix, tweak, and build upon your work non-commercially, with credit to you.
    7. Creative Commons Attribution-NonCommercial-ShareAlike (CC BY-NC-SA): This license lets others remix, tweak, and build upon your work non-commercially, as long as they credit you and license their new creations under identical terms.
    8. Creative Commons Attribution-NonCommercial-NoDerivs (CC BY-NC-ND): This license only permits others to download your work and share with others as long as they credit you, but they can't change them in any way or use them commercially.

Submission curation

We strive to process all deposit requests within five business days.

Fondren Library staff check every submission for file accessibility and add descriptive metadata to enhance discoverability. Preparing your submission using the above guidelines helps to ensure that the curation process moves quickly.

If library staff have questions, they will contact you via the email address associated with your submission. You may also contact the curation team with questions via email or by using this webform.

Once your work has been deposited in R-3, the library will send a confirmation email that includes the item's permanent URL (DOI if requested).
